UNFI deduction codes

3rd-party billing (pass-through) deductions

A 3rd-party billing deduction is a charge that originates with an end retailer — not UNFI — and is passed through to you on your UNFI remittance, usually coded with the invoice number plus a customer marker. You typically verify and dispute it against the originating retailer's program, not UNFI.

What these codes are

Many UNFI deduction codes are not UNFI's own charges — they are pass-throughs. When an end retailer such as Ahold, Food Lion, Big Y or Demoulas bills a promotion, scan, or compliance charge tied to your product, UNFI collects it and passes it through on your remittance, typically coded as the invoice number followed by a customer marker (for example an `(invoice#)AHOLD`-style string).

Because the charge originates with the retailer, the underlying authorization, dates and rate live in that retailer's program — not UNFI's. That changes where the dispute belongs: you generally reconcile the charge against the end retailer's deal, and escalate through UNFI only for pass-through or documentation errors.

Pass-throughs are recoverable on the same grounds as any trade deduction — duplicates, off-window claims, wrong SKUs or rates, or charges with no authorization on file — but the backup you need is the retailer's deal sheet, not just your UNFI records.

What evidence wins

Filing window

UNFI recommends disputing within 60 days of the deduction (up to 12 months for most), but a retailer's own program window may be shorter — check both.

How to file

  1. Identify the end customer from the code and match the charge to that retailer's program.
  2. Pull the retailer's deal authorization and confirm SKUs, dates and rate.
  3. If the charge is wrong at the source, dispute with the retailer's program; if it's a pass-through/documentation error, file in the UNFI Dispute Center with the backup.

Frequently asked questions

What is a 3rd-party billing deduction on a UNFI remittance?

It's a charge that originates with an end retailer (like Ahold or Food Lion) rather than UNFI. UNFI collects it and passes it through to you, usually coded as the invoice number plus a customer marker. The authorization lives in the retailer's program.

Do I dispute a UNFI pass-through with UNFI or the retailer?

Usually the retailer, because that's where the deal terms and authorization sit. Escalate through UNFI when the pass-through itself is duplicated, mis-coded, or applied without backup. Always confirm the correct path against your current agreement.
