How to get a deduction document from ePASS
- Open ePASS. Log in to SV Harbor (svharbor.com) and open ePASS, UNFI Conventional's Partner Accounting Self Service.
- Find the deduction. Use the deduction lookup / Document Search with your 7-digit vendor number and the document number. Both are on your payment statement: the document number is the invoice number on the deduction line.
- Save it as PDF. Open the invoice adjustment (debit memo) and save or print it to PDF.
- Upload it as is. Upload the PDF without editing it, one document at a time. The analyzer reads the item lines and the reason.
You'll know it's the right document: it shows your vendor number, the UNFI region (“UNFI – Eastern Region”), an invoice adjustment document number against a PO, item lines with quantity × cost = amount, a reason such as PROD NOT RECVD, and a closing line like AMOUNT DEDUCTED UNFI – EASTERN REGION. That closing line is the document's total, so we count it once, not as one more item.
How to read a UNFI debit memo
- Description and UPC: the item, with UNFI's internal item code and pack/size.
- Reason: why UNFI took it back, in UNFI's words.
PROD NOT RECVD is a shortage. - Quantity × price = amount: cases deducted at the invoice cost. Check the quantity against your proof of delivery and the price against your invoice.
- Recon: UNFI's internal reconciliation code. Its meanings aren't published.

Your payment statement, read line by line
UNFI Conventional's SUPERVALU pay group statement lists, per payment, each invoice paid (scheduled amount, early-pay discount, net) and each deduction: the invoice it was taken against with an adjustment suffix such as -950 and a negative net, like 27985 -950 … 2,838.76-. We read the lines, check them against each printed PAYMENT TOTAL, set paid invoices and discounts aside, and leave the reason for the deduction document, because the statement doesn't give one.

60 days recommended, 12 months allowed, 18 months the limit
UNFI asks Conventional suppliers to open a pass within 60 days of a deduction and allows up to 12 months. SV Harbor's terms say items older than 18 months won't be researched. Older claims are harder to win, so the analyzer flags lines past 60 days to file first.
