KeHE · UNFI
KeHE and UNFI deductions, side by side
Most natural and specialty brands sell through both. The two take deductions differently: where they post, how the type is written, how long you have, and what evidence wins.
| KeHE | UNFI | |
|---|---|---|
| Where deductions post | K-Solve in KeHE CONNECT (Sales Orders → Credits → K-Solve), often before the payment that carries them | UNFI Natural: the remittance and the myUNFI Dispute Center. UNFI Conventional: ePASS on SV Harbor |
| How the type is written | In the deduction number's prefix: MCBP… (MCB promotion), CS…/CN… (spoilage), …IA (invoice adjustment), SPROU… (Sprouts pass-through) | Natural: in the number (MCB<date>, LCBOL…, WRSLOFE…, an invoice with -111). Conventional: three-letter codes and a reason on the deduction document |
| The file to start with | The K-Solve export (every line, paid and deducted) | Natural: the remittance or Dispute Center download. Conventional: the deduction document from ePASS |
| How long you have | 180 days to request repayment in K-Solve (§4.4); a written UDR response within 48 hours (§6.6) | Natural: 12 months from the deduction, 60 days recommended. Conventional: 60 days asked, 12 months allowed, 18 months the research limit |
| Shortages | KeHE's DC count governs and the UDR rules; it won't repay a UDR-supported shortage by policy, though it does repay when its count was wrong | Natural: an invoice chargeback (-111). Conventional: a debit memo line such as PROD NOT RECVD. Proof of delivery decides both |
| Promotions | MCBs billed bi-weekly per DC, plus retailer pass-throughs with an 8% ($35 minimum) Extra Performance fee | Weekly MCBs (West MCB<date>, East WE<date>); backup by email from [email protected] |
| Money back | RP… lines: repayments on earlier disputes | …PB (payback) lines on the remittance |
KeHE citations are to KeHE's Supplier Policies & Procedures (November 1, 2025). UNFI Natural's window is from UNFI's Dispute Center Training Manual; UNFI Conventional's from SPS Commerce and SV Harbor's terms.

Frequently asked questions
What's the biggest difference between KeHE and UNFI deductions?
The clocks. KeHE gives 180 days to request repayment in K-Solve, but a receiving discrepancy (UDR) needs a written response within 48 hours. UNFI Natural gives 12 months, with 60 days recommended. Missing KeHE's 48 hours is the most common way a recoverable shortage is lost.
Do KeHE and UNFI use the same deduction codes?
No. KeHE writes the type as a prefix on the deduction number in K-Solve; UNFI Natural writes it into the document number (with East/West variants), and UNFI Conventional uses three-letter codes. The same letters can mean different things: an MCB at KeHE is billed bi-weekly per DC, at UNFI weekly.
Can I check KeHE and UNFI deductions in one place?
The free analyzer reads both. Pick KeHE or UNFI before uploading and it reads each distributor's own files with that distributor's rules.
