Step 1 — Confirm you're on pay-by-PO

The Payment Dispute process is limited to suppliers who've signed up for Whole Foods' pay-by-PO program. If you're not on it, start there — or contact your Whole Foods buyer to confirm the dispute channel that applies to your account.

Step 2 — Gather the deduction details

Pull everything the dispute needs: the invoice number, purchase order (PO) number, UPC specifications, payment date, the total invoiced, the total you received, and the exact amount being disputed. Include a clear reason for the dispute.

Step 3 — Fill out the Excel template

Complete the template for each disputed line: invoice number, PO number, UPCs, payment date, invoiced amount, received amount, disputed amount and reason. Accuracy matters — a mismatch between the numbers is a common reason claims bounce.

Step 4 — Submit via the Smartsheet form

Complete the Smartsheet form with your contact information, attach the filled Excel template, and submit it. The form and the template go together — one without the other won't be processed.

Step 5 — Attach the backup that wins
